Let's see if i can make this make sense... Tongue Tied

As i've mentioned (complained about Wink ) before, i'm a receptionist but i do A LOT of busy/data entry work for our Purchasing Dept. I input, scan and archive our purchase orders. Back in January, the *one* woman who makes all of these po's started working from home cuz of health problems (she's 65 and retiring at the end of the year). When she was here she would hand me stacks of all the accepted po's that included; the invoice, the email from the person requesting said item(s), the purchase order requisition, and then the actual po. I would then input these in our accounting system, then de-staple them, scan them and then archive them. Now that she's out of the office she told me that she talked to our office manager about this situation and how we could get me all the info and we even tried our messenger guys once (she lives out in NJ) but it's such a hassle. So they decided that just printing out the accepted part of the po and scanning it was acceptable. So now these have gone from 4-10+pgs down to 1-2pgs.

Now, this morning, my boss's boss comes up to me and asks me to print out some po's for him for a meeting that he's going to to talk about price differences. I open my big mouth and tell him that if they're newer po's (since january) it's not going to have all the info cuz i've just been printing out/scanning the accepted part. He was like 'well, we have to fix that. Cuz why are we scanning all this stuff if it's not going to have all the info we need?'. I totally agreed with him. But as he walked away i realized that what i said made me sound lazy!! Like i made this decision myself to only print out that little bit! Gaw!!

So i want to say something to him but don't want to get the lady who does po's in trouble!! (or the office manager cuz i'm kinda scared of her Sad ) I feel if i say 'M talked to A and they decided this' it's like i'm selling them out. But i want him to know that this wasn't me!

What should i do?!?!

Amendment - i finally decided to email the po lady about the situation (she and i are pretty close) and she just called me for clarification. But she's 'out' today so she said she'll talk to the boss man on Tuesday and that from now on, she'll include the emails/invoices with the accepted po's so i can scan it all! (then why was it decided earlier that just the 2pgs was fine? grr...)

So i feel better but still am mad that i keep getting put in these situations! And i'm not getting PAID for any of this!!

  • At least you got to speak to the po lady and sorted this out.  I hope all your 'volunteer work' at your job pays off in the end, otherwise it just sucks!

  • Yikes, that doesn't sound like a fun situation to be in! Well, since you've talked to the po lady, I'm sure she and your boss will let this guy know that it was their decision and not you just being lazy. I'd hate to be put in a position where you're either sound like you're selling out your coworkers or you are lazy. And it totally sucks that you're doing all this and not getting paid extra.
  • At this point, I don't think it's professional to seek out the Big Boss to explain the PO situation.  There's no way to do it gracefully-without sounding like a "it's not my fault" person.  If he asks you specifically, then explain, but otherwise, do your best to see that the "whole PO scan" policy is enacted immediately and get on with your job.
