Wedding ?, guest list

Everyones been telling me to count 5 less when giving my final headcount.  Adelphias cooks for 3% over your total either way and people keep saying that you always get no shows, espcially in the winter with people getting sick and what not. 

Did anyone here do this and how did it work out?

  • I had to have an approximate head count a week before and they let me give a final head count 2 days before the wedding.  Everyone came except one person, but my cousin brought his friend to fill in.

    I'd give them your real final as close to the date as possible.  Maybe they'll let you do the same thing my venue let me do and give an approximate number and then a final number closer to the date.

  • I gave my actual final headcount. We only had 1 no-show.
  • I gave my actual number. The day of we had one no show, but her sister (who had originally replied no) came in her place.

    I guess this depends on your venue.

  • Yea, I gave the actual number 2 days before, and we had 2 no-shows. I don't think there is a 'safe' way to estimate no-shows. And with yours being on NYE, you'll most likely get everyone who says yes.
  • We gave our actual number and then had a blizzard/NorEaster and had about 10 people get snowed into Boston, Pittsburgh, etc. 

    They all let us know a day or two before and then we called random friends to fill their spots.

    If you don't have to give a count until 2 days before, I'd just go with the real one.

  • we had to give finals a week out, then with some car accidents and such we were going to have two couples not make it(two days before). Thankfully we were able to get fill ins (tacky i know but the money was spent right?) But the pain in the tush was redoing the seating chart.

    I would never give a lower number than ppl who RSVP yes, they could ALL come.

  • It is ALWAYS better to have to much food then not enough.  You don't want to be the wedding known forever as the one that ran out of food.

    We had one no-show.  We gave an accurate head count four days before.

  • They told me they good for 3% over either way so I know we won't run out...Adelphias said the final payment is due a week before b/c of the holiday so I guess I could always add people if I have last minute people who can't come.

  • I gave the exact count and had 3 people who were unable to come--2 of them (a couple) let us know so my mom invited our neighbors who she had wanted to invite but didnt due to $$.  They understood and ended up coming, which was really nice of them.  One guy just didnt come.

     If I could do it over, I would definitely put down for a few less than your actual count.  The venue ALWAYS makes more than enough food so I really wouldnt worry about that unless you are giving a count like 10 under what your actual count is.  

  • My wedding was in May and I had one person not show up and one extra person.  So it evened out.  However, I only had 67 people total.
