How Do You Manage All the Paper

B and I spent the day cleaning out the office, filing bills, and recycling/shredding old documents.  We haven't gone through all of it in awhile, and we would up recycling 2 overflowing garbage bags worth of paper.  Anyone have any tips for dealing with it on a daily/weekly basis so it just doesn't pile up?

  • I keep credit card statements, bills, bank statements, tax stuff and other important papers in a couple of accordion folders. The pockets let me sort them according to what they are. When they get full, I go through each pocket and throw out the older ones - this happens about once or twice a year. I think you're supposed to keep 7 years' worth of tax stuff but I try to keep everything else down to a year.

  • We also keep all of our monthly bills in an accordian folder. They're sorted by date from newest to oldest. Every three months or so I take out the oldest month and shred those bills. I really only keep them so I can compare things to the current month and make sure the right payment was posted, to check for any new charges or fees, and make sure the balance is correct. We don't really see a need to keep anything any longer than that and when we do, it gets out of control.

    All of our tax documents are in a separate drawer because those we do keep for 7 years.

  • I manage it by not allowing it to collect. All my monthly statements come via email. I save them in a file on the computer. My computer is backed up regularly. All mail is gone through daily and junk mail is immediately put in the recycle bin.

    We have copies of every tax return we've ever filed in our safe.

  • I get all our bills online as well. There are only a couple bills that come in paper form and those I keep in a drawer and go through them once a month and get rid of anything I don't need anymore.

  • We are always finding ourselves backed up with paper. Good to know I don't need to actually keep all of those insane amounts of credit card and phone bill statements. I think it's time to go on a shedding spree. We could easily fill a few dozen bags right now. It's sickening. Luckily, I do file things away at least once a week, so it doesn't pile up on the desk. Our file cabinet is packed to the brim right now, though. Good tips ladies!

  • We have recently (in the last two months) started dealing with paper in a new way.  One folder one side has the bills we have paid, the other side has the bills still needing to be paid.  We keep the paid bills until the nextstatement comes in so we can verify payment has been received and applied appropiately.  So far it seems to be working pretty well.

  • I want to add that I also mark on my calendar how much I put on each bill when I pay them. It really makes a difference in keeping track of everything.
