job related: when to send note of recommendation?

so, on the super d/l, i am exploring a job opportunity here at work in a different department. my manager knows and is fully supportive. i'm not yet in cycle of formal interviews but have done a couple informal meet and greets with key people over the past couple of weeks. next week, i do a meet and greet with the head of the department.

so, i contacted someone who used to be a Vice President here (he coined the term, "Expect More, Pay Less" so as you can imagine, he's widely known and respected) and he offered to send a note of support/recommendation to the department head on my behalf.

my questions is, should he send it before i meet with this person or after? my gut says before but i'm afraid to appear too eager or something.

  • Would it be appropriate to ask your current manager what the protocol is?

  • Is the head of the department going to decide who to interview after you meet with him/her?  Have you sent in materials to actually apply for the job?

    I think it could be seen as too eager, but I guess I need more details....

  • If this VP guy was to write and say, "Lily just called me and she asked me if I would write this up so here it is...." then I'd hesitate.  If he can make it "breezy" I might be a little more okay with it: "I had spoken with Lily and she expressed an interest in this opportunity so I wanted to contact you and let you know how impressed I was with her when XYZ happened.  Keep her in mind."

    Are you close enough to VP guy to express your concern about seeming too eager?

  • I would definitely wait until you formally apply for the job because otherwise it's just a random letter talking about how great you are.  Other than that, I think it depends.  In my field, there are so many applicants per job that I've heard most recommendation letters never get matched up with the resume/application.  Can you ask your manager like someone else mentioned?

  • i have not formally applied for the job yet because it hasn't been posted. the hiring manager (a different person) would decide, upon consultation with the involved managers, who the interview team would be.

    i know, it's confusing. i am POSITIVE the VP wouldn't word it weirdly. the guy has build his reputation and career on his ability to string words together (copywriter) so i know whatever he writes will be amazing.

    the advice i got from another person i trust (our CMO's assistant) said to send it before, definitely.

  • Totally agree that it should be sent before. You'll have more clout when you meet with the VP if you've had a recommendation from someone so well respected. It'll just make you all that more interesting to them.

    Then you should go with this.  I would assume this person knows what they're talking about since they should have the inside scoop.
