advice on being reimbursed

My boss told me today that in early November I'll be going to a training in another part of Houston.  My boss is not known to reimburse for mileage or anything of that nature.  Now, I do not want to pay out of pocket for gas expenses/toll charges that it will take to get down to this part of town.  I'll be driving nearly 20 miles out of my way to get there from my house and the same amount to get back to work (around 40 miles total). 

 I would like to ask my boss if she'll reimburse me for mileage and toll charges.  Gas isn't cheap, nor are the tolls (especially when it's something beyond my normal routine).  Any advice on what to say?

  • First I'd check in your Employee Handbook about what it says about mileage reimbursement. If there's nothing there, I'd go to her and say something like, "Is there a form that I can fill out for mileage reimbursement?" Let her take the lead from there -- see what she says. 
  • Reimbursing employees for gas, etc. is a generally common practice. I would just say, "What are the company's procedures for reimbursement? I want to ensure I'm tracking my mileage appropriately for these off-site training meetings."

    Most places have a form to enter your mileage, then subtract your "normal office mileage" from to get a final reimbursable rate.

  • Thanks, ladies! I'll be speaking to my boss about this. It's a small company that she owns...so it's to her discretion.  She's is NOT known to reimburse, but it doesn't hurt to ask.
  • Ok, I'll be a b!tch. It's 40 miles, which is what, $8? I'd just leave it alone.

  • i kind of agree with leaving it alone - however if you constantly have this problem of not being reimbursed for things and are just trying to bring it up in general then go for it.
