Im having an issue and need some help....I work in a small office myself and the office manager. I have felt for a long time that she adds on hours to her pay that she didnt work. We switched our payroll to a new company and it changed our work week. During the transition we only received a pay for 2 days to get us on the same schedule as the new payroll company.I received a check for 16 hours. Well last week she was out for the day, I was in her files for something else and ran across the payroll file. Why its in the same file as the receivables I dont know... I looked at it got my file and went to my desk. I thought about that file all day and finally got up and looked into it and saw that the week everyone else got a 2 day pay, she gave herself a 40 hour week. I know I should not of looked in the file, but I had to know. Now, I dont know what to do about the information I found. How can I say something to the owner of the company without looking like a snoop? Even if I am...and then Im thinking maybe he approved her for the 40 hours, but I have some doubts about that, because he has never looked at the payroll before.

I'm torn here. I want to tell you to MYOB, since you did snoop through documents that are private (and you can possibly get in big trouble for that). But at the same time I'd want to blow the whistle. But I probably wouldn't say anything to the owner. Like you said, it's possible he approved her for his own reasons. But you can't possibly know if the owner looks at payroll, that's a presumption I would never make. There's no one who cares about a small company's money more than the owner.

Yes, you are correct we worked Thursday and Friday closed out with company A and started Monday with company B. She is the Payroll Admin. and she has no big brother. The owner takes her word on everyting. I know I should of minded my own business, but its very hard to work with someone that cheats the company. I understand the frustration. I'd want to blow her scheme out of the water. But eventually things will come back to bite her. And shame on the owner for not implementing checks & balances...
amico, I know you said that you have chosen not to report this, but I would encourage you to. You can explain that you found the information in question while performing your duties in the course of the work day and it caught your attention because, #1 it was obviously misfiled, & #2 it appears that this could be something needing the owner?s attention. You can get a copy of the information hopefully still and make an appointment to see the owner. You don't have to accuse your office manager of stealing, just couch the incident in wanting to verify if this was something he/she authorized or that it may have been an error of some kind he/she may want to verify.
You want your employer to know you are a conscientious employee- and that?s all in how you convey the issue to him/her. Again, you want to make sure you are making no accusations, just bringing an anomaly to his/her attention that was found completely by accident. It might also be a chance to suggest that some sort of auditing schedule be implemented. You can also offer to provide assistance however the owner needs in this area if he/she desires.
I'm inclined to say tell the employer. Primarily because you mentioned that you have suspected for a while that she had been paying herself for more hours than worked. That is most definitely stealing and if she's been doing it for an extended period of time, that is certainly going to add up.
Now as far as how, I don't know.
