Anyone plan dinner fundraisers?

We're planning a "gala" fundraiser/recognition banquet, and I need help on the ettiquette.

We're honoring our event volunteers from the previous year, so we're giving them complimentary tickets IF they RSVP. If they don't, they'll be charged the general admisssion price. Family and friends (we're talking 40 to 50 volunteers) will be charged the general admission price.

 We're only charging enough to cover the meal, so it will be $10 a plate for a pasta buffet. We are having a cake auction at the end of the night, so anyone who commits to bringing a cake will be given a complimentary ticket.

We'd like it to be a bit fancier than typical dinners in our small town, so we're sending out about 75 invitations to our volunteers and event sponsors, and various others.

 

I really need help on the RSVP wording. Does this sound okay?

 

General admission tickets may be reserved for $10.00. A pasta buffet will be served. Tickets may be reserved in advance and paid for at the door.

 

Complimentary tickets will be provided free of cost for superintendents, Fair Association members, the Fairest of the fair and Future Fairests, if ordered in advance. The night of the Gala, general admission tickets can be purchased for $10.00. Friends and family may purchase general admission tickets.

 

Complimentary tickets will also be available for donors of decorated cakes to be auctioned off at the Gala. If donating a cake, please contact the Extension Office by March 4, 2011.

  • Honestly, it's a lot of words and all I read is blah, blah, blah.  So, I'd do two separate letters.  One letter for those people that are getting a free admission. 

    "In appreciation of your service you would like to offer you a complimentery ticketif you RSVP by x date.  Your friends and family are welcome to purchase general admission tickets for $10"

    You can put the free admission for cake donation in both letters. 

    One other thing to consider, offer an incentive to buy in advance- $10 before x date, $12 at the door.  This will help your planning and earn you more in the end. 

    I'd probably also add the menu in a separate block of the letter- on the front of a tri-fold, with a meatball border at the bottom of the letter, whatever.  Pasta buffet can mean a 100 different things.  Include an overview of types of pasta, does it include salad, or bread, etc.
