So frustrated

This is going to be long...

So I review records for our clients and type up notes for the reps. The office gets all these records on a CD from SSA, and then someone uploads it to the client's online file. I then view the file from there. Easy-peasy. 

Except SSA has decided that they will no longer send us CD's since the reps can view them on their "Appointed Rep Suite of Services" (ARSS). The reps have passwords for this site so only they can view it. Uh, ok, so they just share their login info, right? No. Apparently to view a file, you have to log in and then ARSS texts the rep a one time password to actually view the information. But then you can view as many of their clients as you want.

Great. So the reps just have to text me this password. I log in, look up the client I need and try to download a file. But then ARSS sends an email to the rep letting them know they file is ready to be downloaded. Then I can go in and actually download it. Do you think all 6 of my reps can do this in a timely fashion? Oh no, definitely not.

I waited to view a file today allllll day. Still didn't ever get it. It was suggested that we request the names we need from the rep, and they just download a few at night from home. Except they're all "way to busy". Well they'll be pretty upset when their files aren't reviewed by me and they're left hanging. I suggested changing the phone numbers to mine so that I don't have to go through all this, but got "well what if I need to view a file at 10pm?" I told that rep that he needs to manage his time better and not work so late :o)

I want to beat my head against the wall. Seriously. Having to do this for multiple reps even once a week is going to be an entire day process. 

I am so sick of my job. It's not something I ever wanted to be doing, or saw myself in. I never thought I'd say this, but I hate that I make so much money, only because it means that I can't just find any old job to replace this. I am just frustrated with life today.

  • You win.  My day has been full of little annoyances, but at least mine will be mostly over by tomorrow.  I can't imagine having to go through this every time you need to see something!

    (and I am a total 15 year old boy, thinking it's hilarious that the new system is called ARSS -- you can look at my arss for the file!)

    This is the only thing that has saved me today. Lots of crude comments towards the reps in a similar fashion. It's probably good I'm working from home again!

  • What a PITA. There's gotta be an easier work around.

    You have to dedicate one day of the week to this? Ugh...

  • Ugghh, how frustrating. That really sounds like a PITA, I hope they can find a way to make the system work a little easier.

    Well, it's the Social Security Administration, so it's all the same IMO.

    Kind of what I was thinking.

    "Let's take a system that pretty much works out but may have a kink and turn it into something with 400 steps that involves extra people."

    Like how my lab calibrated equipment, we're talking hundreds of pieces per week, and my boss got tired of people sending in multiple pieces on a work order because we had to complete the work order before sending the equipment back (which caused a problem if they needed them back quickly and one or two pieces of equipment needed repaired)....so he decides that every single piece of equipment needs it's own work order. No. Not necessary. That just creates a MUCH bigger hold up.

    I totally missed the SSA part of the story. But, yes, you are right.
